Privacy Policy

Effective date: October 28, 2026

Your information is used to manage the league. We do not sell or rent personal information or share it for outside marketing.

1. Our commitment

Gridiron Florida uses information collected through this website for the purpose of administering and managing the league and its participating clubs and teams. This policy explains how we handle information about participants, parents and guardians, coaches, volunteers, club leaders, administrators, and website visitors.

We do not sell or rent personal information. We do not share personal information with outside organizations for their independent marketing, advertising, fundraising, or other unrelated purposes. Any access or disclosure is limited to the league purposes and circumstances described below.

2. Information we collect

Information you, your parent or guardian, or an authorized club or team representative provide may include names, dates of birth, email addresses, phone numbers, guardian and emergency contact details, account information, club and team assignments, roster roles, and jersey numbers.

We may also collect photographs, documents used to verify identity or eligibility, signed waivers, registration and certification records, training and background-check status, and communications with the league. Where an adult screening process requires additional identifying information, that information is used for the applicable screening and eligibility process.

The website and its hosting and authentication providers may record technical information such as IP address, browser and device details, login activity, and error or security logs. Cookies, local storage, or similar technologies may support sign-in, security, saved preferences, and website operation.

3. How information is used

We use information to create and secure accounts; process invitations and registrations; manage rosters, roles, and season participation; verify age, identity, eligibility, waivers, training, and required screening; arrange schedules and playoffs; record results; communicate about league activities; provide support; and prevent misuse.

League management may include retaining participation and certification history across seasons and reviewing a person's eligibility for a new team, club, or role. Information is not collected for sale to data brokers or for unrelated commercial use.

4. Who may receive information

Authorized league administrators and appropriate club or team representatives may access information needed to perform their league duties. Participants and parents or guardians may access information associated with their authorized accounts and registrations.

Service providers supporting league operations may process information as needed to provide services such as website hosting, data and file storage, authentication, email delivery, and required screening or training. This limited operational processing is different from allowing an outside organization to use league information for its own unrelated purposes.

We may disclose information when required by law, a valid legal process, or a lawful government request, or when reasonably necessary to address fraud, protect safety, or protect legal rights. We limit these disclosures to the information reasonably needed for the applicable purpose.

5. Public league information

Public pages display league information such as club branding, team names, age groups and divisions, venues, schedules, scores, standings, announcements, and coach names, roles, and profile photographs where shown. Information placed on public pages can be viewed by people outside the league.

Private registration records and identity documents are intended for authorized league administration, rather than public display. Please avoid including private participant information in club descriptions, announcements, or other content intended for public pages. Contact us if you believe private information has been published in error.

6. Children and parent or guardian involvement

Youth registration information should be provided by a parent or legal guardian, or by an authorized league, club, or team representative working with the family. Children under 13 should not independently create accounts or submit personal information through this website.

Parents and legal guardians may contact us to request review or correction of their child's information, request deletion, or ask that further collection or use stop. We may need to verify identity and authority before acting. Some information may be necessary for participation or may need to be retained for legal, safety, waiver, or recordkeeping obligations; we will explain applicable limits when responding.

7. Retention and security

We retain information for as long as reasonably needed for the league purposes described in this policy, including participation history, eligibility, required records, safety, dispute resolution, and legal obligations. Information that is no longer needed should be deleted or de-identified. Copies in backups may remain until those backups are replaced under the service provider's retention practices.

We use account permissions and other reasonable safeguards to help protect information. No website, transmission, or storage system can guarantee absolute security. Keep account credentials private and promptly report suspected unauthorized access.

8. Your choices and requests

You may update information through your account where that option is available, or contact us to request access, correction, or deletion. We may verify your identity before responding. Requests are handled subject to applicable law and legitimate league recordkeeping obligations. Deleting information required for eligibility or safety may affect participation.

You can manage cookies and local storage through your browser settings. Disabling them may affect sign-in and other website features. Please do not send identity documents or other sensitive identifying information in ordinary email; contact us for an appropriate submission method.

9. Other websites and policy updates

Links to club websites, maps, sign-in providers, or other external services may take you to sites governed by their own privacy policies. This policy applies to Gridiron Florida's handling of information through its league website.

We may update this policy as league operations or requirements change. The updated policy and effective date will appear on this page. Where additional notice or consent is required by law, we will provide it; publishing an update alone does not replace that requirement.

10. Contact us
